Your advertisement is running and something on its is wrong, or has changed since you filed it. A payer was added, an amount moved, the message was reworded. On PolAds the answer is an amendment. This post explains why corrections are a duty, how the flow works and why the original record is never overwritten.
Why keeping the notice right is a duty
PolAds calls the person behind an advertisement the advertiser, whom the Regulation calls the . The sponsor provides, and ensures the accuracy of, the information Article 7(3) lists, such as its identity, who pays, the dates and where the money comes from, before or during publication. The publisher ensures the accuracy of the amounts, the methodology, the repository link, the complaint mechanism and the reach (Article 12(2)). When the sponsor's information changes or turns out to be wrong, its duty continues.
Reg. 2024/900 Art. 7(3)
Where a sponsor, or a provider of advertising services acting on behalf of a sponsor, becomes aware that any information transmitted to or published by the political advertising publisher is incomplete or inaccurate, it shall contact, without undue delay, the political advertising publisher concerned and shall transmit completed or corrected information to that political advertising publisher.
The has a matching duty to make best efforts to complete or correct the information without undue delay, including by contacting the sponsor (Article 12(2)). And the notice itself must stay current for as long as the advertisement runs. Article 12(3) requires transparency notices to be ‘kept up-to-date during the entire period of publication of the political advertisement’.
Why the original is never overwritten
Keeping a notice up to date does not mean erasing what it said before.
Reg. 2024/900 Art. 12(4)
Political advertising publishers shall retain their transparency notices together with any modifications thereto for a period of seven years after the last publication of the political advertisement concerned.
That is why PolAds treats a stored notice as a legal record. Nobody edits it in place: not PolAds, and not the publisher, who cannot edit a notice from the dashboard. The only way to change what you declared on a confirmed notice is an amendment, which the publisher then confirms. Each amendment stores the notice as it stood before the change, together with a list of what changed. PolAds keeps each notice and its amendments for at least seven years after the notice's end date.
The public notice shows the current version and an amendment history. Each entry gives its number, the date it was submitted, your reason and the published fields that changed, with the old value struck through and the new value beside it. Changes to email addresses, phone numbers and street addresses are left out. Anyone reading the notice can see what it said before and what it says now.
Before sign-off you do not need an amendment
If the publisher has not signed the notice off yet, changes are simpler and free.
- With publisher: choose Withdraw to draft, edit and submit again. You are not charged again.
- Needs correction: the publisher sent it back with a comment. Use Correct & resubmit.
When you can amend
You can amend a notice once the publisher has signed it off, as long as its end date has not passed and no other amendment or deletion request is waiting. That includes a notice that is approved but not yet public because its start date is still ahead.
Once the end date has passed, PolAds no longer accepts an amendment to the notice.
How to file an amendment
- Open My Transparency Notices, find the notice and choose Amend.
- Work through the steps: Advertiser, Advertisement, Funding and Review. Change only what needs correcting.
- Answer Why are you amending this registration?. Your reason is published in the amendment history, so write it for a reader.
- Tick the declaration that the amended information is truthful, accurate and complete.
- Submit with Use 1 credit and submit. An amendment costs one and cannot be paid by card.
What you can and cannot change
You can change, among other things, the ad message, its language and title, the political subject, the reference number, the language versions, the payers, the amounts, benefits in kind and the , and your own name and phone number. You can also propose new publication dates, which the publisher confirms.
You cannot change the medium, the publisher, the election link, the answers on targeting, your email address, or the advertiser's company name, legal name, VAT number or address once they are on the notice. For a different medium or a different publisher, register a new notice.
What happens after you submit
While the amendment waits, the public notice stays as it was. The publisher reviews the change and one of three things happens.
- Confirmed: the public notice shows the new information, and the change appears in its amendment history with the date you submitted it and your reason.
- Rejected: the notice stays as it was. You receive the publisher's reason by email, and your credit is returned.
- Expired: if the notice's end date passes before the publisher reviews the amendment, it is not applied and your credit is returned.
Use 1 credit and submit
Example Party amends the total amount on its live notice from €10,000 to €12,000, with the reason The final invoice was higher than the budget we declared.
The amendment waits for the publisher. The public notice stays as it was.
Choose what the publisher's review leads to
While it waits, the public notice still shows €10,000 and the amendment history has no entry.
Public notice, point 5
Total amount for the political advertisement
€10,000
Unchanged while the publisher reviews
Amendment history
Nothing yet.
Your credit: used.
A notice registered with no publisher is amended straight away.
Amendments and complaints
If someone reports your advertisement and the publisher upholds the complaint by correcting the label or notice, the correction to the notice itself still goes through your amendment. The publisher must tell you about measures it takes after a report that affect the availability or presentation of your advertisement (Article 15(9)).
If the advertisement will not run at all
An amendment corrects a notice. It does not withdraw it. If a confirmed advertisement will not run, choose Request deletion before its start date. The publisher approves or declines the request. Once the publication period has started, deletion is no longer possible and an amendment is the way to correct the notice.
